The Role:

Legal Secretaries are responsible for a variety of tasks to support solicitors, including maintaining and organising files, conducting legal research, and drafting documents.

Legal Secretaries work in teams with solicitors, fellow paralegals, and other employees in the office. They also have frequent interactions with clients and third-party vendors such as Barristers, Medical Assessors etc.

 

Key Responsibilities

  • All administrative duties including answering telephone enquiries, photocopying, filing, booking appointments, drafting general correspondence
  • Investigate the facts of the claim
  • Organise and maintain documents in the paper and electronic filing systems
  • Management of lawyers' diaries and office calendars
  • Preparation of correspondence and court documents
  • Preparation of briefs to counsel
  • Regularly liaising with clients and external providers
  • Sound knowledge of legislation impacting on the area of practice e.g. Civil Liability Act, Contracts Act etc
  • Ability to appear confidently in routine client meetings, conferences and/ or Courts
  • Participate, prepare and present/ share knowledge of any external CLE or lectures relevant to the practice area - to enhance professional development
  • Effectively record all time spend on tasks and meet WIP and fee budgets
  • Ad hoc general administrative responsibilities.

  • Excellent time management skills and an ability to work well under pressure

  • Empathetic, co-operative and team focused.
  • Intermediate to advanced Microsoft Word skills, experience with Filepro (legal management system) an advantage
  • Ability to meet deadlines and communicate effectively
