Job Description

Avalon Legal Pty Ltd is a growing general practice law firm with strong China–Australia cross-border capability. We advise individuals, SMEs and corporate clients across commercial law, property, litigation, employment, family law and migration matters. As part of our expansion, we are seeking an experienced and proactive Administration Manager to oversee the firm’s daily operations and support our legal team.

About the Role

The Administration Manager plays a critical role in ensuring the smooth, compliant and efficient operation of the firm. You will work closely with the Principal Solicitor and senior staff to manage office administration, staff coordination, systems, and internal processes.

This role suits someone who is organised, detail-oriented, confident in a professional services environment, and capable of managing multiple priorities independently.

Key Responsibilities

  • Oversee day-to-day office administration and operations of the firm

  • Manage administrative staff, paralegals, PLT students and support workflows

  • Maintain and improve internal systems, precedents and office procedures

  • Coordinate onboarding and offboarding of staff and contractors

  • Manage client intake processes, file opening, conflict checks and record keeping

  • Oversee document management systems (e.g. LEAP practice management software)

  • Liaise with external service providers (IT, accountants, insurers, regulators, suppliers)

  • Support compliance with Legal Profession Uniform Law and internal firm policies

  • Assist with billing administration, invoicing coordination and general financial administration

  • Provide high-level administrative support to the Principal Solicitor as required

About You

  • Proven experience in an administration or office manager role, preferably in a law firm or professional services environment

  • Strong organisational and time-management skills with excellent attention to detail

  • Ability to manage competing priorities and work autonomously

  • Professional communication skills (written and verbal)

  • High level of discretion and confidentiality

  • Proficiency in Microsoft Office; experience with legal practice management systems is highly regarded

  • Ability to work collaboratively with lawyers, support staff and external stakeholders

Desirable (but not essential)

  • Experience in a legal practice in NSW or Australia

  • Familiarity with trust accounting processes

  • Ability to speak Mandarin Chinese and English

  • Experience supporting a growing or start-up professional firm
