Experienced Legal Secretary NEEDED

 

BQ Law is a law firm with nation-wide presence and practice committed to providing comprehensive and strategic legal advice to our clients across a broad range of matters, including corporate and commercial transactions, real estate, litigation, family law, estate planning and administration, and children’s law.

 

Our firm operates across Australia, with offices in New South Wales and Canberra, providing legal advice and representation to individuals and businesses across a diverse range of legal matters.

 

Our multidisciplinary team comprises experienced solicitors and dedicated support staff who work collaboratively to deliver high-quality legal services and achieve effective outcomes for our clients.

 

We are now seeking an experienced Legal Secretary to provide administrative and secretarial support to our solicitors. In this role, you will assist with the coordination and management of legal matters, maintain accurate legal documentation and records, and work collaboratively with the team to support the efficient delivery of legal services.

 

This is a full-time opportunity for an organised, meticulous and reliable person.

Duties and Key Responsibilities:

 

·       Liaise with partners, solicitors, clients, counsel, courts, government authorities to arrange meetings, and to obtain and provide information as required

·       Provide administrative support by preparing summaries and case materials, briefing notes and correspondence, and proofreading documents for language, spelling and formatting errors.

·       Manage and update appointment diaries and making travel arrangements when needed

·       Review and process incoming and outgoing mail and client correspondence, including filing and maintaining client matter files and records in accordance with the firm's file management systems

·       Assist callers and clients by answering telephone enquiries, providing relevant information, and directing calls to the appropriate solicitor or partner as required

·       Take and transcribe dictation of client letters, court documents, contracts and other legal documents in accordance with instructions provided by supervising solicitors and partners

·       Welcoming and greeting visitors, determining the purpose of their visit and directing them to appropriate solicitor or partner

·       May execute management decisions and maintain meeting records and well-organised matter files

·       May support billing, invoicing and basic bookkeeping functions relevant to the firm's day-to-day operations

·       Provide secretarial, clerical and administrative support to legal professionals in relation to civil litigation and dispute resolution matters, property transactions and family law disputes, including preparing and managing legal correspondence, contracts, pleadings and client files

·       Apply knowledge of legal terminology, procedures and documentation requirements to assist with the efficient management of legal matters, court and filing deadlines and day-to-day office operations.

 

Experience

·       Holds a relevant Diploma degree (or higher) preferred or at least three years of relevant work experience

·       Reliable and motivated;

·       Good team player;

·       Must possess excellent communication, management and interpersonal skills;

·       Multilingualism in English and Mandarin Chinese is highly preferable

 

Annual salary package: $90,000.00 to $110,000.00 per annum plus superannuation. Remuneration to commensurate with experience.
