Purpose of the Role

The Campus Reception and Operations Assistant will support the operational delivery of College of Law Victoria programs, provide professional reception services and create a welcoming and well-presented campus environment.

The Campus Reception and Operations Assistant must enjoy working in a team environment and will be required to work from the College of Law Victoria from Monday to Thursday. They must also have capacity and a willingness to work some Fridays and evenings on campus, to support stakeholder events and workshops.

The successful candidate will take a flexible and hands-on approach to all general campus upkeep and tasks.

Key Accountabilities

The Campus Reception and Operations Assistant will be responsible for the following areas and key accountabilities

 Customer Experience

  • Dedicated to providing an outstanding customer service.
  • Monitor Vic Admin and Vic Assessment inboxes and proactively respond to student and other stakeholder enquiries; provide clear and effective advice, options and/or resolutions, in a timely manner according to stakeholder needs.

 Campus Reception

  • Meet and greet students, clients and all other campus visitors in a professional and positive manner, reflecting exceptional customer service.
  • Ensure that all incoming phone calls and emails are attended to in a prompt and courteous manner.

Campus Operation

  • Ensuring that all campus areas are maintained to a high standard to meet stakeholder needs.
  • Coordinate the stocking of kitchen consumables and maintaining the presentation of both the staff and front of house kitchen areas, including loading and unloading dishwashers.

About you 

Education/Qualifications

  • Certificate IV with relevant work-related experience; or
  • Certificate III with extensive relevant work experience; or
  • An equivalent combination of relevant experience and/or education/training

 Experience, Skills and Attributes

  • Experience of working in a reception / customer service / administrative role
  • Excellent verbal communication skills and the ability to deal effectively with customers in person and by phone
  • Excellent written communication skills particularly via email
  • Flexible with the ability to respond in an agile manner to changing circumstances
  • Customer centric
  • Empathetic and able to diffuse hostile situations in a calm and professional manner
  • A proactive team player who will take responsibility and see tasks through to completion
  • Strong attention to detail
  • The ability to take information from multiple sources to solve problems
  • Capacity to contribute to team knowledge and development by sharing knowledge with other staff and providing constructive feedback
  • Capacity to listen to customers and colleagues and respond to queries and information in a way that demonstrates understanding of the other person's point of view
  • Competency in Microsoft Office environment with experience in using Teams, Word, Excel and Outlook
  • Competency in Salesforce or similar CRM system advantageous
  • Competency in Canvas or similar LMS system advantageous
